The 5 Rules for Responding to Negative Reviews
Rule 1: Respond within 24 hours

Rule 2: Acknowledge the specific complaint

"We understand how frustrating it must be to wait longer than expected" shows empathy. "We were wrong and made a mistake" creates legal exposure. You can acknowledge frustration without admitting fault for something you haven't investigated.
Rule 4: Take the conversation offline
Never argue or explain your side in a public review response. Invite the customer to contact you directly. This shows potential customers that you resolve problems, and moves the resolution off the public stage.
Rule 5: Keep it concise
A 1-star review response should be 3-5 sentences. Anything longer looks defensive. Hit acknowledgment, empathy, offline resolution — and stop.

What Not to Say in a Review Response
- ✗Don't blame the customer. Even if they're wrong, contradicting the reviewer publicly makes you look petty.
- ✗Don't get into specifics about what happened. Save the explanation for the private conversation.
- ✗Don't be sarcastic or passive-aggressive. "We're sorry you feel that way" is the single worst review response in existence.
- ✗Don't offer discounts or refunds publicly. This invites every unhappy customer to leave a 1-star review hoping for free work.
- ✗Don't use copy-paste responses. If every negative review has the same reply, it's worse than no reply at all.
